Responsibilities
The Human Resources Assistant is responsible for administrative HR duties, as well as for administrative support to the Management.
It includes a number of tasks described hereinafter, that will facilitate the Head Office HR management and ensure a good interaction with the different managers of department within the company.
Main Responsibilities and Tasks
Human Resources duties:
HR administrative duties: makes sure that the Junior HR Assistant handles the following in an accurate and timely manner:
Preparation of letters of engagement, letters of appointment
Proper recording and updating of staff records (copies of ID and diplomas, contacts, marital status…), both on soft and hard copies
Follows up the staff leaves (annual, sick-, maternity, bereavement, etc.)
Preparation and dissemination of memos to staff on HR issues after HR Manager approval, including memos related to disciplinary measures (e.g. Warning letters).
Documentation of any leave from the company whatever the reason (resignation, dismissal, retirement etc.)
Preparation of memos related to re-assignment and/or re-location of staff members, including delegations granted as per Department Managers requests
Referral to HR Manager of the issues faced by other departments in the effective application of the HR policies and procedures
Monitoring of applications/recruitment: makes sure that the Junior HR Assistant handles the following in an accurate and timely manner:
Keeping track of applicants’ details (spontaneous applications received as well as applications received upon vacancies announcements).
Organising recruitment in relation with concerned department : posting of job adverts, reception of applications, sorting of files received, organization of test sessions, processing of results, organisation of interviews, processing of results, communication with applicants until selection and recruitment. Presentation of main HR policies of the company to newly recruited staff
Performance Monitoring
Coordinates under HR Manager supervision the overall Annual Performance Appraisal Process i.e.:
Makes sure all departments/sections managers design and establish with all staff their annual objectives
Makes sure all departments/sections managers proceed with end of probation period appraisal
Makes sure all departments/sections managers proceed with the Annual Performance Appraisal as per policy and procedures
Centralises documentation of the whole Performance Monitoring Process
Training:
Makes sure the Junior HR Assistant manages the logistics and organization of training sessions
Ensure on-going research on external training opportunities and informs the HR Manager and relevant Department Managers
Receives external training requests from staff and keeps track of them; if staff members are to be sent outside for external training, manages the associated logistics and administrative tasks. Makes sure any staff having followed an external training provides a training report and centralises such reports
Centralises training needs as displayed in the annual appraisal forms, ensures analysis of identified training needs, and summarises them
Supports the HR Manager in the design of an annual training plan, in its implementation and monitoring
Updates the database of training delivered to any staff in an on-going manner
Ensures any other administrative tasks related to HR
Other administrative duties
Ensures the dispatching of phone calls and letters received by the company, as well as recording
Ensures the formatting of letters, reports, and other working documents of the company, and the data entry in miscellaneous formats according to needs of the company
Welcomes and filters visitors coming at the Head Office, and direct them to the relevant person according to the matter
DECISION MAKING & ORGANISATIONAL ENVIRONMENT
Reports to: HR Manager
Supervises: Junior Human Resources Assistant
Internal relations: Head Office Department Managers / Branch Managers
PERFORMANCE CRITERIA
The Human Resources Assistant shall demonstrate:
Ability to gain an effective knowledge of HR Policies, Procedures, Forms and any other related working document
Ability to organise large quantities of files, documents, data
Proficiency in the use of standard office software packages
Ability to finalise high quality documents and data entry in limited timelines
Ability to interact with the management of the company in a smart and efficient manner
Capacity to propose improvements in the organisation of her duties
Confidentiality sensitive
Good command of spoken and written English
